Creative Financial Staffing has partnered with a fully integrated, Boston based construction firm to identify a Bookkeeper/Office Manager to join their team.

Highlights of the Bookkeeper/Office Manager Opportunity:
The Company: Boutique construction company focused on residential and commercial construction as well as restoration and redesign services.

Role: Supporting/reporting to the CEO, the Executive Assistant/Bookkeeper needs to be proactive with organizing the business, scheduling meetings and making sure the CEO is well represented while at the same time handling the day to day accounting for the CEO’s smaller lines of business.

The Exposure: This growth position in a deliberately small team will work closely with the executive team to ensure that they are able to run and operate the company effectively and efficiently in office management and accounting capacity.

Responsibilities of the Bookkeeper/Office Manager include but are not limited to:
Maintain the Accounts Receivable, Accounts Payable, Billing, and monthly financials for the CEO’s separate lines of business.

Assist the corporate controller in processing weekly and biweekly payroll Enter new contacts and vendors into Outlook and ensure all contact information is updated in a timely fashion.

Distribute monthly and annual financial reports Handle professional and personal Outlook calendar, including the arrangement of meetings and appointments, travel times, location selections, etc.

Send confirmation emails or place follow up calls for all calendar appointments.

Read and respond to all routine emails as needed.

Serve as the liaison for various outside board activities.

Preparation, transmittal, and follow-up of all confidentiality agreements, offer letters, and cover letters, with regard to new and on-going business ventures.

Proofread correspondence and obtain appropriate approvals/backup for items intended for CEO’s signature.

Anticipate and prepare material needed for meetings and conference calls.

Qualifications:
Bachelors’ degree highly preferred.

2+ years of Accounts Payable experience required.

Payroll experience highly preferred.

Highly organized Able to work independently QuickBooks experience highly preferred.
