Bilingual Human Resources Assistant

LCS Facility Group

This is a Full-time position in Poughkeepsie, NY posted May 15, 2021.


Under the general supervision of the Human Resources Manager, the Human Resource Assistant (HRA) provides a wide variety of both complex and routine administrative services. The position will assist in the execution of LCS policies and processes that includes but is not limited to records administration of employee benefits plans including health, welfare, and retirement plans, ECF management, unemployment administration; day to day support including records, leave administration and manages the HRIS system.


Records Administration / ECF Management

  • Manages LCS I-9 Compliance
  • Responsible for overseeing employee manual and electronic records
  • Scan and update HR forms / documentation in the HRIS system in a timely manner
  • Ensures appropriate approvals are in place for making changes and processing any ECFs
  • Ensures appropriate approvals are in place for processing any ECFs
  • Ensure full compliance with Federal and State regulations for employee documents
  • Receives, audits, classifies, files, tracks, distributes, and maintains documents according to established procedures and legal standards for security and document organization
  • Maintains and manages recordkeeping for all job descriptions and modify as needed

Unemployment Administration

  • Receives and reviews unemployment documentation
  • Researches and completes information requested and returns within timeline(s) given
  • Audits monthly statements or discrepancies or claims with new information


  • Manages HRIS system; maintain integrity of data within HRIS
  • Works with Payroll Department to ensure accuracy of all information within system
  • Ensures appropriate HR systems, procedures and processes are followed by all constituencies
  • Ensures appropriate approvals are in place for all employee-related changes
  • Makes appropriate changes in the HRIS system regarding employment processing, pay / compensation, benefits, new position, and employee status changes
  • Responsible for maintaining and managing all employee records and files and the development of pertinent reports to assist in the direction of HR strategies
  • Effectively utilize systems to obtain, store, and analyze pertinent data.

HR Champion & Support

  • Provide back-up assistance in the absence of the Recruiting Manager in the following areas:
  • Promotes employee recognition and appreciation through whole-life initiatives such a birthday cards, new family member congratulations, condolences, special achievements, etc.
  • Ensures regular team member communications / newsletters are issued to all constituencies
  • Works with HRM to ensure regular updating of team member website / Team Connect information
  • Maintains good communication and positive relationship with employees to promote employee satisfaction as well as internal relationships


  • Create spreadsheets and run reports to aide in effective workflow
  • Identify potential areas of compliance vulnerability and risk, and implement action plans for resolution of problematic issues
  • Document and implement improvements of department processes, procedures, and audits to improve effectiveness
  • Regularly conduct internal department audits to ensure compliance of human resource legislation and company best practice
  • Completes especial projects as assigned by clarifying project objectives; setting timetables and schedules; conducting research; developing and organizing information; fulfilling transactions
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating professional organizations
  • Enhances department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
