    Term of Employment: Full-time, 12-Month Position

    Position Goals: Provide functional supports and expertise to the Human Resources Manager in defined areas as indicated below.

Odyssey is united in our mission to prepare lifelong learners who are culturally aware, global citizens that utilize critical thinking and problem-solving skills grounded in the classical teachings of Greek education and language. This approach trains students to use the Socratic Method and inquiry approach to learning while leveraging their unique skills and talents in an equitable and democratic manner to create a positive culture where all students can find success.

    Key Responsibilities:

      Provide excellent customer service to Odyssey staff members, responding to inquiries in a timely manner and at least confirming receipt no later than 48 hours after submission.
      Demonstrate a solid working knowledge of all HR Specialist processes and functions in their entirety, the role each HR function plays in the organization and the overall implications of those functions.


      Remain up-to-date on all State of Delaware K-12 benefit plans, informing HR manager and OCS staff of all changes as they take effect, and attending SBO trainings and meetings were appropriate.
      Be the expert in PHRST HR/ Benefits applications.
      Aid employees during Benefits Open Enrollment and in instances of change of life.
      Assist the HR Manager with processing of FMLA/Workers Compensation/STD/PPL requests as needed.

    Functional Supports:

      Accurately maintain all files according to OCS best practices and State guidelines: Personnel file maintenance, DEEDS documentation, STD reporting, Workers Compensation, Unemployment, Labor Board, Onboarding Documentation.
      Accurately maintain all personnel files and ensure all human capital contracts are returned and filed timely.
      Accurately enter Workers Compensation claims within 24 hours of incident being reported, seeking out necessary information when needed. Manage claims and act as the liaison between the vendor and employee, keep HR Manger and all other relevant parties informed appropriately.
      Provide support to HR Manager in maintaining OCS staff DEEDS records. Uploading documents to employee DEEDS profiles and collecting required documents ensuring all deadlines are met.
      Assist HR Manager in developing and conducting meetings and training sessions on HR related topics when needed.
      Ensure that all employment and HR related activity is appropriately supported, documented and filed according to OCS best practices and State of Delaware guidelines.
      Provide HR reports as needed. (i.e.: PHRST/Payroll, PHRST Funding, Short Term Disability, Employee Turn around, etc.)
      Serve as Labor Board Liaison; complete unemployment forms, employment verifications, communicate with Delaware Labor Board, etc.
      Efficiently support the HR Manager and Business Office where needed.

    HR Systems:

      Respond to all help desk tickets on a daily basis and escalate issues as needed, follow up on any outstanding issues and close tickets accordingly. All tickets should receive confirmation within 24 hours, and be handled and closed within a reasonable timeframe based on the issue.
      Accurately enter employee data in the State of Delaware Payroll Human Resource Statewide Technology (PHRST) meeting all OCS and State imposed deadlines.
      Accurately maintain PHRST funding panels to ensure proper School funding. This includes; salary plan tabs, modify a person and personal profile panels ensuring grade levels, years of experience and steps are kept current in real time.
      Maintain accuracy of all HR spreadsheets in real time, updating the appropriate documents as soon as Specialist is made aware of personnel changes. (IE: Personnel google doc, Master Employee Spreadsheet, DCR tracking spreadsheet, New Hire Sheet, Separation Sheet, etc.)
      Timely and accurately handle all PHRST system changes and corrections and communicate internally and externally as needed.
      Accurately enroll employees in health, vision and dental insurance plans meeting all deadlines, and serve as the liaison between employees and service providers were appropriate. Timely escalate issues to the HR manager as needed.
      Accurately process employee PHRST status changes in a timely manner.

    Talent Acquisition:

      Update job posting ads on various media outlets (Frontline, Facebook, Indeed, etc., as well as OCS website), Monitor posts to determine effectiveness of the job site, deactivating to increase cost effectiveness.
      Schedule interviews following OCS procedures and best practices and partner with HR Manager in serving as the liaison between candidate and hiring panel until the best candidate is selected. Provide interview packets for all interviews, including application packets and correct rubrics for position.
      Assist HR Manager in Talent Acquisition process as needed; review resumes, check references and perform preliminary telephone interviews. Accurately issue offer letters and no interest letters using existing templates, etc. in a timely manner.
      Efficiently onboard new employees to PHRST, ensuring all required documentation is accurately completed and filed according to OCS best practices and State of Delaware guidelines, ensuring all deadlines are met. Ensure all required paperwork is on file no later than 30 days from the effective start date.
      Ensure that all employment and related forms, verifications, etc. are effectively and efficiently managed on behalf of the school and reported out to State entities as needed.
      Accurately maintain all personnel files as required by law and OCS best practices, properly filing all paperwork in a timely manner.
      Responsible for keeping the HR Manager apprised of local, state and federal Human Resources-related legislation, policies and practices, compliance and other related matters that could impact school operations
      Follow and assist in the implementation of HR best practices, policies and procedures.
      Other duties as may, from time-to-time, be established by the HR Manager.


      Minimum three years’ experience working in human resources preferred.
      Experience with an enterprise resource program such as PeopleSoft or Oracle.
      Proficiency with Microsoft Office.
      Experience with job posting software and appropriate social media outlets.
      Ability to successfully multitask, take direction, work independently and meet deadlines.
      Demonstrated good judgment; approachable and professional; solid problem solving skills; self-motivated; well organized.
      High level of integrity and ethical standards.
      Ability to maintain highest levels of confidentiality.
      Demonstrated ability to learn rapidly.
      Excellent oral and written communication skills.
      Excellent attention to detail.


      Bachelor’s degree in Human Resources, Business Administration or relevant area of study.
      3+ years’ experience in HR with a school or school district preferred.
      Proficiency in PHRST and benefit coordination.
      Exceptional interpersonal skills as well as strong communication skills.
      Extensive knowledge of computer systems, particularly software related to human resources.
      Ability to maintain high level of confidentiality when dealing with employee personnel files.
      Ability to make sound judgments and decisions.
      Strong organizational skills and attention to detail.
      Ability to see a task through from start to finish, independently gathering the required information as needed, effectively and timely communicating to all parties, while escalating potential issues as needed.
      Proactively project and plan for potential roadblocks.
