Human Resources Specialist/Recruiter

National Notary Association

This is a Contract position in Chatsworth, CA posted November 27, 2021.

The Human Resources Specialist will primarily focus on recruitment within the entire organization, as well as provide support the HR department. This is an excellent opportunity for an outgoing, proactive individual to have an impact at the National Notary Association, by partnering with various levels of management to maintain staffing needs and grow in an HR support role. While a hybrid work-from- home schedule is available, this position will provide onsite support as needed, and candidates must be local to the Chatsworth, CA area.

In this role, you will be the primary person providing full cycle recruitment support for front-line positions, and support professional level hiring as needed. You should be comfortable connecting with all levels of the organization, outside contacts and staffing agencies, and be a collaborative team player.

You will work closely with both internal and external customers to meet the NNA’s staffing needs, while maintaining a high level of professionalism and confidentiality. Excellent written and verbal communication skills are a must, and you will have an opportunity to shine and make this new role your own.

  • Full-cycle recruiting including but not limited to: partner with internal hiring managers; manage job postings; review and screen resumes and applications; contact and screen candidates; conduct and schedule interviews; manage the application tracking system (ATS); process background screenings; confirm and schedule start dates and onboardings; assist with IT equipment distribution and retrieval
  • Effectively work with external staffing firms, and establish new relationships as appropriate
  • Partner with internal social media team to recruit via social channels
  • Understand employment law and recruiting best practices
  • Prepare report data as needed
  • Act as a company ambassador and promote the NNA as an employer of choice
  • Act as a liaison between employees and the department, and support employee relations
  • Support department related projects and initiatives
  • Participate in and assist with company-wide events and communications
  • Continuously strive to learn the business and the department in order to expand your acumen and job knowledge

  • High school diploma or equivalent; degree preferred
  • Minimum 2 years’ experience in full-cycle recruiting
  • Proven success sorting and facilitating applications for high volume positions
  • Experience, proficiency and comfort in learning and maintaining HRIS and ATS
  • Must have a professional presence, excellent written and oral communication skills, and be comfortable conducting, phone, video and in-person interviews
  • Maintain a sensitivity and confidentiality around the privacy of internal and external customers


  • Manage a high volume/high quality pipeline of candidates under tight timelines
  • Manage a high volume recruiting workload, along with other priorities
  • Proficiency in Microsoft Office; excellent time and calendar management
  • Successfully organize and manage your time and tasks
  • Prioritize to meet deadlines and accurately perform duties
  • Project an ability to listen and understand when working with employees at all levels
  • Show empathy, emotional intelligence and emotional control in day-to-day operations and interactions
