Payroll Clerk Position Summary

The Payroll Clerk assists the Payroll Manager in the day-to-day payroll and timekeeping processing for the company. S/he will be responsible to pay employees promptly and accurately by managing and executing the entire payroll cycle. S/he will pay post payroll bills, garnishments, etc. and reconcile corresponding accounts. S/he will communicate with the Payroll Manager, Human Resources, Benefits, Accounting, Finance, Tax, and Field Operations.

Payroll Clerk Essential Duties and Major Responsibilities

  • Sets up all new employees and makes all necessary changes to current employees in the computer system.
  • Assists in processing the bi-weekly payroll on a timely and accurate basis.
  • Assists in processing all monthly, quarterly, and annual payroll reports with the proper government agency (State, Federal, FICA, Unemployment, Bureau of Labor Statistics, etc.).
  • Assists in processing and printing the annual W-2s.
  • Reconciles the Payroll Checking Account.
  • Remains cooperative, courteous, helpful, and pleasant in all interactions to assure an efficient and smooth processing of transactions in a non-hostile working environment.
  • Maintains payroll information by collecting, calculating, and entering data.
  • Processes payroll according to company procedures, ensuring accuracy and timeliness of payroll delivery.
  • Processes all monthly, quarterly, and annual bonuses and commissions.
  • Processes weekly and monthly HR & PR bills.
  • Reconciles HR/PR accounts vs. schedules, bills, and deductions.
  • Assists in maintaining employee files and paperwork.
  • Assists in benefit management and reporting.
  • Reviews and ensures accuracy of gross pay to net pay, including earnings, deductions, garnishments, and taxes for Management exempt and non-exempt employees.
  • Continuously looks for ways to improve the current processes by researching and gathering information and presenting it to management.
  • Provides support for all transactions related to special payments and salary changes.
  • Conducts ongoing audits to ensure the system setup is aligned with federal, state, and local legal requirements.
  • Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; and advising management on needed actions.
  • Manages the transaction processing of all employee tax-related withholdings and garnishments in accordance with Federal, State, and Local laws and regulations.
  • Processes benefits deductions, contributions, and funding for our health and welfare plans and 401k.
  • Provides customer service to employees regarding payroll-related information.
  • Develops, compiles, and completes reports as needed for organization.
  • Maintains payroll information by performing the collection, calculation, and entering of data.

Payroll Clerk Education

  • High school degree or equivalent required.
  • Associate or bachelors degree in business or accounting preferred.

Payroll Clerk Experience

  • 3 + years payroll experience required.
  • 3 + years accounting and bookkeeping experience preferred.

Supervisory Expectations:

This job has no supervisory responsibilities.

Wages Hourly, Non-Exempt: $20 – $28
