Payroll Specialist I

Butler Community College

This is a Contract position in Walnut Creek, CA posted September 29, 2021.

The Payroll Specialist is responsible for the preparation and distribution of the payroll for all employees.

The Payroll Specialist will assist the Payroll Manager with other office duties as needed.

Job Requirements: A.

Enter all required payroll information into system for all employees.

Ensure that all payroll entries are coded to the proper general ledger account number; setup labor re-distributions as directed by Finance.


Responsible for processing manual checks and voids.


Work alongside of HR staff in providing hiring packets and providing guidance to groups of new employees completing paperwork.


Answers employees’ questions regarding policies as outlined in the employee handbook (as it relates to pay).


Assist employees with WebTime Entry, including specific hands on training as needed.


Monitor timesheets/leave reports in WebTime Entry, and remind employees and supervisors to submit/approve timesheets before deadlines.


Reconcile leave slips, overtime, and shift differential to hours reported in WebTime Entry.


Upload FLAC into monthly payrolls, reviewing errors, and entering prescribed changes.


Assist with testing of Banner upgrades, patches and new releases.


Send out flyer for direct deposit each fall and spring semester.


Process and follow up on employees with no social security number.


Monitor student worker’s FICA /Medicare exempt status; reviewing enrollment status before each payroll.


Responsible to report any discrepancies of conflicting work time and course schedules for student workers to FWS Financial Aid Counselor.


Maintain HR email distribution groups.
